Overview

Beech (“we,” “us”) provides drawing and project operations software for architecture firms. This policy describes how we collect, use, and protect information when you use Beech during our pilot SaaS program.

Information we collect

Account data — firm name, user names, email addresses, job titles, and authentication credentials (stored as secure hashes).

Firm operational data — projects, drawings, tasks, reviews, vendor records, site visits, files you upload, and audit logs your team creates while using the product. This data belongs to your firm.

Technical data — session cookies, IP address, browser type, device type, approximate location (derived from IP), pages visited on our marketing and help sites, and usage logs needed to operate, secure, and improve the service.

How we use information

We use collected information to:

  • Provide, maintain, and improve Beech
  • Authenticate users and enforce role-based access
  • Send transactional email (invites, notifications)
  • Respond to support requests and pilot feedback
  • Understand how the public site and product are used (for example pageviews, approximate geography, and device type) via first-party product analytics
  • Monitor security, prevent abuse, and meet legal obligations

We do not sell firm data. We do not use your project content to train third-party AI models.

Cookies & sessions

Beech uses an HTTP-only session cookie to keep you signed in. The cookie name is configured per deployment (default: beech_session). Session tokens expire according to server settings. You can end a session by signing out.

On public pages (marketing, signup, and documentation) we may also set a first-party analytics cookie so we can measure visits and improve the site. We use PostHog for this. We do not use advertising or cross-site tracking cookies.

Data storage & security

Firm data is stored in isolated tenant scopes on encrypted infrastructure. File uploads may be stored in object storage (e.g. Cloudflare R2). Access is limited to authorized personnel for operations and support during the pilot.

No system is perfectly secure. Report suspected issues to the contact below promptly.

Data retention

We retain firm data while your account is active. During the pilot, Firm Admins can export firm data or request firm deletion directly from Firm settings. Deletion includes a 7-day grace period for cancellation before firm data is permanently removed. Some audit and security logs may be retained briefly after deletion where required for compliance. In-app notifications are pruned after 90 days; activity feeds look back 90 days; firm audit logs are kept for one year.

Your rights

Depending on your jurisdiction, you may have rights to access, correct, or delete personal data. Firm Admins can manage team member accounts, firm exports, and firm deletion directly in Beech. For other requests, contact us using the email below.

Changes

We may update this policy as the pilot evolves. Material changes will be reflected on this page with an updated date. Continued use after changes constitutes acceptance.
